Applications and Cancellation rules

1. Participants

The limit of participants for each day is different, according to the activities. It will be specified when filling the application. 

2. Platforms

The event will be held online. From the first to the fourth day, the platform used will be GatherTown, while for B2B and B2S meetings the matching platform will be directly on the website. More information about the connections and work of these platforms will be announced some days prior to the beginning of the event. 

3. Application rules

To apply as participant of the event, you must fill the form by clicking in the button that will appear on top of the page when the applications open. 


The applications are processed in a “first come- first served” way. To promote diversity, during the acceptance procedure, different rounds will be performed. This means that during the 1st round, the first student from each university will be accepted. During the 2nd round, the second of each university will be accepted. This will be repeated until all the places are occupied.   

These rounds will be done every two (2) weeks since the opening of the applications.  

The places cannot be transferred to another student.

8th of May 2024 at 23:59 UTC 

Early bird applications close. 


27th of May 2024 at 23:59 UTC 

Full price applications close. 


The second round of applications will be opened in case:  

  • the minimum number of participants is not reached.  


1st of June 2024 at 12:00 UTC 

Second round of applications opens. 


10th of June 2024 at 23:59 UTC 

The second round of applications ends. 


If there are still vacancies, they will be filled with the people on the waiting list always following the same criteria as above. 

4. Payment and cancellation rules

4.1. Participation Fee

The participation fee is as follows: 

  • 20 € as an EA member 
  • 30 € as a Non-EA member  


There will be two rounds of application: 

  • Early bird promotion: if you apply before the 8th of May, the tickets will be at a 50% price of the initial amount. 
  • Full price: if you apply after the 8th of May. 


If you are a EUROAVIA WG member, you will have free access to the event.

4.2. Payment

Payments may be done using one of the following methods:


  • Revolut
  • Bank transfer


The deadline for the payments is two (2) weeks after the confirmation mail from the organization is received. If after this period no proof of the payment is received (at least the receipt), the application of the participant will be cancelled.  


If the payment is not processed and the two (2) weeks have passed, the participation will be cancelled. 

The participants must send the receipt of the payment to future.beyond@euroavia.eu putting in copy amanda.roman@euroavia.eu.

If no answer to this email is received within two (2) weeks, please resend the message. 


No refunds will be done after the payment is received. 


NOTE: the payment will be effective once the IB responsible confirms its reception. All commissions derived from the transfer must be covered by the participant.

4.3. Cancellation Rules

In case that a member has been confirmed by the organizing committee to participate in the Future & Beyond 2024, but, for any reason, is unable to participate in the event, there is an option of cancelling the participation. 

In order to do so, the member will have to send an email to amanda.roman@euroavia.eu stating the reason for the cancellation and the participation fee will be partially/fully paid, based on the following criteria:

50% (10€ or 15€)

 From 11/06/2024 at 00:00 UTC

100% (20€ or 30€)

If the member cancels his/her participation, the respective Local Group or WG is responsible for transferring the cancellation fee to the event organisers, under the condition that his/her place cannot be filled by someone else on the waiting list.  

Participants on the waiting list that are admitted due to cancellation will have the possibility to cancel within one (1) week from receiving the acceptance email without paying a cancellation fee. 

After this week, the cancellation fee will be according to the periods listed above. 

5. Registration

If you are a member of EUROAVIA, your membership status will be checked.
